IMPORTANT INFORMATION:
Online Ordering of Official Transcript Overview:
- For transcript cost and quantity rates refer to the Cost Chart.
- The online ordering system is available 24/7/365. Transcripts are processed between the hours of 7:45 a.m. – 4:30 p.m. Monday – Friday Central Standard Time, excluding holidays.
- The University of Wisconsin-Madison (UW-Madison) issues transcripts only for academic work completed at this university.
- Unofficial (campus copy) transcripts (referred to as student records) may be obtain free of charge through MyUW and MyInfo. This option may not be available for students who first attended the University prior to 1978.
- Your transcript will be delivered in an official business size University envelope. DO NOT open the envelope if you are forwarding your transcript to another organization, as many organizations require delivery in a sealed envelope. If multiple copies of transcripts are requested for a single destination, your order will arrive in individually sealed envelopes within a larger envelope. The flap of each individual transcript envelope will indicate that it has been sealed by the University.
General Reminders:
- We will only process orders that have been fully paid.
- Processing times noted do NOT include transit time (i.e., mail/express service delivery time).
- If your transcript needs to have an absolute "no later then" postmark date, we highly suggest you select Expedited Service or Express Delivery.
- We cannot and will not take responsibility for damages, lost or misdirected items once they have left our office.
- If you are concerned about the eventual receipt of your transcript or need proof of delivery, we recommend that you opt for Express Delivery when ordering.
Before Placing an Order:
- Orders will only be accepted if you do not owe the university money as indicated by the existence of a records hold.
- Hard copy submissions will be returned to you.
- You will need to resubmit your order once the hold is removed from your record.
- Information about records holds, including where to clear them, is available. through My UW-Madison (MUM) and MyInfo web portals.
- We are unable to delay the processing of your request. If you need the transcript to reflect a grade change or include your recent degree, you will need to confirm the status of your record (via My UW-Madison (MUM) or MyInfo) before placing your order with us.
- Former (and current) students who first attended the university prior to 1978 may have a partially or completely non-computerized record. Processing your record will involve ordering back your record card from the State Records Center; this may delay our office having your transcript on site by an estimated 2-4 business days which would increase our stated processing times commensurately.
- Expedited processing is available for U.S Mail/Airmail delivery if “Expedited Service” is selected and the following criteria is met:
- The order is successfully created and paid for by 12:00 noon Central Standard Time, Monday-Friday, excluding holidays.
- Signature (if required) is received by 12:00 noon Central Standard Time, Monday-Friday, excluding holidays.
- Attachment (if applicable) is received by 12:00 noon Central Standard Time, Monday-Friday, excluding holidays
- In Person Pick-ups are available if ordered, paid for and picked up before 4:30 p.m., Monday – Friday, excluding holidays.
Ordering Options:
- Online, authenticated user
- Enter the official transcript ordering system through MyUW-Madison or MyInfo web portal
- MyUW-Madison is used by current students. They should contact the DoIT Help Desk ((608) 264-4357, http://helpdesk.wisc.edu, help@doit.wisc.edu) for assistance with NetID and/or password access to the MyUW-Madison web portal.
- MyInfo is used by alumni and former students. Former students who do not know thier Campus ID or PIN can use 'Forgot Campus ID or Pin?' available 24/7.
- Option to pay online via credit card, mail in a check or pay in-person at the Bursar's Office
- Attachments may be submitted in-person or by mail. (Faxed allowed if paid by credit card.)
- Once we have received your payment and required attachment(s), transcripts normally will be processed within 1-3 business day of submission of your complete order!
- Online, unauthenticated user
- Enter the official transcript ordering system through http://ordertranscript.wisc.edu
- Option to pay online via credit card, mail in a check or pay in-person at the Bursar's Office
- Attachments may be submitted in-person or by mail
- Once we have received your payment, authorized release signature and required attachment, transcripts normally will be processed within 3 business day of submission of your completed order!
- Paper request form
- Request is made via our newly revised paper form, mailed to our office with any attachment (may include payment)
- Option to pay in-person at the Bursar's Office
- Once we have received your complete order, with full payment and any attachments, transcripts normally would be processed within 3-5 business day of submission of your completed order.
- Other written requests
- Federally compliant requests* must be mailed to our office with any attachment (may include payment)
- Option to pay in-person at the Bursar's Office
- Once we have received a request meeting federal compliance, with full payment and any attachments, we will attempt to locate the unique record**
- Locating the correct record and processing the transcript request will normally take 4-7 business days
*Federal law mandates that we only honor requests for student records releases made in compliance with privacy regulations. This at a minimum must include the following in writing, specifically stating: what designated record, releasable to whom, for what purpose. The request must be signed and dated.
**In order to comply fully with the law, we must have a singularly unique match in our student records database before releasing a record. Therefore the request must include student attributable data. Such as: name(s) while in attendance, identification number(s), demographics (birth date, addresses, etc.), academic milestones (programs, degrees, dates of attendance, etc.), etc.
